Administrative Assistant/Receptionist (financial district)

The San Francisco Bay Area Water Emergency Transportation Authority is a regional agency authorized by the State of California to operate a comprehensive public ferry system. The agency is seeking a detail-oriented, organized, and resourceful individual able to juggle multiple tasks for a small office to play a key role in the success of this agency. The nature of this work requires someone with outstanding communication and people skills.

Responsibilities include but are not limited to:
• Maintain overall office appearance, internal and external
• Perform miscellaneous projects and assignments
• Customer service • Field incoming calls and greeting guests in a professional and positive manner
• Process daily incoming and outgoing mail, deliveries, and faxes
• Coordinate meeting logistics and arranging conference calls
• Perform various clerical tasks including photocopying, scanning, faxing, and filing
• Maintain and update database and mailing list
• Assemble and distribute materials for meetings
• Review vendor invoices for accuracy
• Prepare invoice review sheets and notifications
• Order and maintain office equipment and supplies
• Assist managers with administrative tasks, procurement, minutes, and special projects
• Perform administrative duties and support as needed
• Maintain office vendor contracts and vendor liaison

Qualifications:
• 2+ years administrative experience
• Proficiency using Microsoft Word, Excel, PowerPoint, and Outlook
• Experience handling multiple phone lines
• Ability to work independently and in a team environment
• Willingness to be flexible and prioritize as circumstances change
• Good accurate follow-through on assignments

Compensation and Benefits:
• $15.38 to $20.19 per hour, depending on experience

We are located near the financial district on the San Francisco waterfront, accessible by ferry, BART and Muni’s F line.
