About the Position:

Playworks is a fast growing organization. As an HRIS Specialist, you play an integral role in securing, integrating and directing important employee information for our employees from coast-to-coast. The HRIS Specialist will be responsible for HRIS systems analysis, implementation and maintenance; for the input, integrity and confidentiality of all employee data and files; and for monitoring benefit vendor performance, reconciling benefit invoices and administering benefit programs. The candidate must have a strong understanding of HRIS database structure, functions and process, as well as, benefit compliance. This is a full-time,exempt position based in Oakland, CA and reports to the Compensation/HRIS Manager.

Duties include, but are not limited to:

  • Recommend process/customer service improvements and innovative/integrated solutions to the current HRIS systems
  • Serve as a key liaison with third parties (ie: AmeriCorps, payroll, remote city staff)
  • Lead and perform testing to ensure timely implementation of systems upgrades, fixes and enhancements
  • Develop user procedures, guidelines and documentation
  • Train employees/managers on new processes and functionality including training new system users
  • Perform scheduled activities including complex summer process (program coordinator termination at end of school year followed by hiring, orientation and audit at beginning of school year Jun-Sept)
  • Enter all employee data into HRIS system to include offer letters, offer packages, orientation packages, new hire orientation, termination and COBRA; Maintain online and physical personnel files
  • Write, maintain, support a variety of reports or queries utilizing appropriate reporting tools
  • Administer benefit programs including the planning and collaborating with HRIS, payroll, vendors and brokers to support plan implementation
  • Identify opportunities to leverage HR systems to increase employee self service.
  • Maintain various database tables such as benefit plans, eligibility and events rules
  • Answer employees questions regarding benefit plan eligibility and plan provisions and intercede when necessary with benefit providers
  • Create reports, prepare analysis and conduct audits as needed for open enrollment and summer orientation
  • Benefit invoicing tracking, reconciliation and reporting
  • Maintain all benefits documentation including plan documents, amendments, summary plan descriptions, 401(k) minutes and coordinate compliance with other benefit requirements
  • Minimum of 3-5 years prior HRIS/Benefits experience
  • Ability to maintain strict confidentiality and exercise discretion in personnel matters at all times
  • Self-starter with excellent organizational and project management skills
  • Detail-oriented and self-directed, with the ability to multi-task; high professional standards
  • Strong understanding of HR processes and data
  • Strong understanding of HRIS database design, structure, functions and process
  • Excellent written and oral communication skills; great presentation skills with the ability interact with all levels of employees and members
  • Ability to work on complex HR problems where analysis of situation or data requires an in-depth evaluation of various factors including legal regulations, company culture and best practices
  • Persistent about follow up and keeping documentation on steps taken/phone calls made(dates/times), etc.
  • Strong computer skills and the ability to use existing technology to achieve desired results; proficiency in Google Apps, ADP, Recombo and Salesforce a plus
  • Ability to thrive working both independently and within team settings
  • Versatility, flexibility and a willingness to work within constantly changing priorities with enthusiasm; Ability to maintain composure under stress
